These terms explain the general rules for using the Sports Frame-Studio website and the photography services described here. The prices, product options, delivery charge, order deadline and any service-specific terms shown in a booking confirmation or the Sports Frame-Studio gallery checkout form part of that booking or order.

Using this website

Website text, photographs, poster designs, branding and other artwork belong to Sports Frame-Studio or are used with permission. You may view the site for personal information. You must not copy, alter, republish, sell or use its photographs or designs commercially without written permission. A product purchase is for personal use and does not transfer copyright or grant a commercial licence.

The six poster images are non-clickable examples of design directions. They are not final artwork or a promise that another club will receive the same design. Each club’s designs are tailored to its colours, history and agreed theme. Screen and print colours can vary slightly.

Enquiries and bookings

Sending an enquiry does not itself confirm a booking. A booking is confirmed when Sports Frame-Studio agrees the details with the club in writing. Please allow at least one month’s notice where possible so the designs, registrations, venue and session can be prepared. Dates are subject to availability.

For a Club Media Day, the club is expected to arrange a suitable indoor venue with electricity and enough space for the portrait setup and players. Player numbers, registration arrangements, permissions and safeguarding details should be agreed before the event. A parent or guardian must provide the permissions requested for a child to be photographed.

If a club needs to cancel or rearrange a Media Day, please provide at least two weeks’ notice. If something unexpected happens closer to the date, contact us as soon as possible so we can discuss an alternative, subject to availability.

Galleries, orders and delivery

Where a password-protected gallery is provided, the parent or guardian is responsible for keeping its access details private and sharing them appropriately. Galleries are normally available for around six weeks from launch; the specific closing date will be stated for each gallery. Please place orders before the displayed deadline if you want club delivery and for the order to be considered for the Club Cash Boost.

• Orders placed by the advertised club deadline are normally printed, quality-checked and delivered together to the club for managers or coaches to hand out.
• Orders placed after that deadline may be available until the gallery closes. They are sent to the customer’s delivery address by Royal Mail, with the postage and packing charge shown at checkout.
• Allow around 5–7 working days after the club deadline for printing and delivery to Sports Frame-Studio, followed by quality checks and club handover. We will let the club know if a delay affects the expected handover.
• Prices, product options, payment method, delivery charge and any order-specific conditions are shown before checkout is completed. The order is accepted when checkout confirms it.

Club Cash Boost

For an eligible Club Media Day, the club’s contribution is calculated as 20% of sales from orders placed by the advertised deadline, after the printing and packaging costs for those orders are deducted. Orders placed after the deadline do not qualify. The amount is based on actual completed orders, not attendance or estimates, and is finalised after the relevant sales and costs have been confirmed. We will provide the club with a calculation summary before arranging payment.

Changes, cancellations and consumer rights

If you need to change an order or booking, contact us as soon as possible. Once personalised artwork or printing has started, changes may not be possible. Any change-of-mind cancellation right that applies to an online order, including any exception for clearly personalised goods, will be explained for that purchase before checkout. Nothing in these terms removes your statutory rights if a product is faulty, not as described or otherwise fails to meet legal requirements.

If an order arrives damaged or incorrect, please contact us at lee@sportsframe-studio.co.uk with your order details and, if helpful, a photograph of the issue so we can look into it.

Photography permissions and privacy

Parents or guardians must ensure they have authority to submit a child’s registration and the permissions requested for the session. We use photographs to provide the agreed gallery and products. Public portfolio or promotional use requires appropriate permission and is not a condition of buying a product. See our Privacy Notice for information about personal data and image handling.
